Emburse, explained: what it is and how to use it
Emburse is a corporate spend-management platform that handles expense reports, corporate cards, travel booking, invoices and reimbursements in one system. A single vendor for the whole spend lifecycle
Emburse (emburse.com) is a Los Angeles–based software company owned by private-equity firm K1 Investment Management. The brand was created in January 2020 when K1 consolidated a group of acquired expense-management products — Certify, Chrome River, Nexonia, Tallie, Abacus and a card startup also called Emburse — under one name. Later acquisitions added travel tools (Roadmap) and hotel/air rate auditing (TripBAM, 2023).

Three editions, sized by company
Emburse is not one app but a family. The edition your company runs determines the login URL, the mobile app you download and the help center you use — which is the most common source of confusion for new users.
Emburse Spend
Card-first spend control for SMBs. Plugs into the cards you already use, captures receipts at the point of purchase, checks each expense against policy before it reaches finance, and syncs to QuickBooks, NetSuite, Sage Intacct and Xero.
Emburse Professional
The former Certify platform. Mobile receipt capture with OCR, scheduled auto-generated expense reports (ReportExecutive), configurable approval routing, per-diem and allowance controls, and pre-approval audit checks (InstantAudit).
Emburse Enterprise
Built on Chrome River technology for large, multi-entity companies. A configurable business-rules engine, corporate card programs, invoice/AP automation, travel booking with policy enforcement, and hotel/air contract auditing from the TripBAM acquisition.

Pricing model
Emburse does not publish list prices. Professional and Enterprise are sold on quote, typically as an annual subscription priced per active user or per expense report, with implementation fees for Enterprise. Emburse Spend for small businesses is positioned as interchange-funded (revenue comes from card transactions) with a free tier for core features. Expect to go through a sales demo for anything beyond Spend.
From receipt to reimbursement
The workflow is the same idea across all editions; the buttons just look slightly different.
Capture
Snap a receipt in the mobile app, forward an email receipt, or let a corporate-card transaction flow in automatically. OCR reads amount, date, merchant and currency.
Check
Emburse AI categorizes the expense and checks it against your company policy — per-diems, category caps, missing itemization — before you can submit.
Approve
The report routes to the right manager or cost-center owner. Approvers act from email or the app; auditors see flags for duplicates or suspicious receipts.
Post & pay
Approved items post to the ERP general ledger and cost centers automatically, and reimbursement goes out by ACH or virtual card — per item or per batch.
How to use Emburse, by role
You cannot sign up for Professional or Enterprise on your own; your company’s administrator creates your account and sends the login details. Small businesses can start Emburse Spend directly from the website.
Employees
- Find out which edition your company uses, then install the matching app: Emburse Professional, Emburse Enterprise Mobile or Emburse Spend (iOS and Android).
- Log in with the username, password and — for Enterprise — the Company ID your admin gave you. Use “Forgot password” on first login if needed.
- Tap the camera button and photograph the receipt 6–12 inches away so it fills the screen. Wait for autofill, then confirm amount and merchant.
- Fix any Assurance alert (for example, a non-itemized receipt) while you still have the paper.
- Add the expense to a report, certify it is accurate, and submit. Track status in Pending Approval.
Managers & approvers
- Approval requests arrive by email and in the app’s Approvals tab.
- Open the report: green check marks mean every required field and receipt is present.
- Review policy flags — over-limit amounts, duplicates, missing receipts — and approve, return with a comment, or reject line items individually.
- Set up a delegate before vacations so reports do not stall.
Finance & admins
- Connect the ERP or accounting system (NetSuite, SAP, Sage Intacct, QuickBooks, Xero, Dynamics) and map GL accounts and cost centers.
- Build the policy: hard limits that block submission, soft limits that require a justification, per-diem tables, receipt thresholds, vendor rules.
- Configure approval routing by amount, department or project, and turn on Assurance fraud checks.
- Load users (SSO/SCIM on Enterprise) and connect card feeds.
- Run the reimbursement schedule and monitor spend dashboards; export or sync to the ledger.
What it connects to
Emburse positions itself as an open platform, and integration depth is one of its main arguments against smaller rivals. Native connectors exist for the major accounting and ERP systems, plus card networks, travel agencies and everyday business tools.
